Configure automatic email sending
Automate your emails to save time and ensure your contacts receive communications at the right time.
What are automatic sends
Automatic sends are emails sent automatically when a specific event happens or a condition is met.
Advantages
- Time saving: Configure once, works always
- Consistency: Everyone receives the same information
- Timeliness: Sends at exact moment
- Scalability: Works with 10 or 10,000 contacts
Types of automation
Event-based
Emails sent when something happens:
New appointment created
- Immediate confirmation
- Attendance instructions
- Payment information
Appointment updated
- Change notification
- New date/time
- New professional
Appointment cancelled
- Cancellation confirmation
- Rescheduling options
- Satisfaction survey
Time-based
Emails sent at specific intervals:
Before appointment
- 7 days before: Initial reminder
- 3 days before: Preparation
- 1 day before: Final reminder
- 3 hours before: Urgent reminder
After appointment
- Immediately after: Thank you
- 1 day later: Feedback
- 7 days later: Follow-up
- 30 days later: Return
Configuring an automation
1. Create new automation
In the side menu, go to Automations > Email > New automation.
2. Choose the trigger
Select what will trigger the send:
- Event: When something happens
- Date: At specific date/time
- Behavior: Based on actions
3. Select template
Choose the email template to be sent.
4. Configure timing
Define when to send:
- Immediately: As soon as trigger happens
- With delay: X hours/days later
- Specific time: At next occurrence of HH:mm
5. Activate
If everything is correct, activate the automation.
